For invoicing purposes:
- Youth members are members who are Joeys, Cubs, Scouts or Venturers.
- Rovers are classed as Adults for Invoicing.
- ScoutLink stores email addresses in 2 places, Summary Tab and Parents Tab
Summary Tab
On the summary tab, there are 2 email address fields.
Email-1: Family (For Youth) or Personal (For Adults) email address
Email-2: Scouts NSW email address for members when they have activated their account
Primary Parent
On the parents tab, many records can be added here. The record listed at the top is the Primary parent.
If this record is deleted, the next record in the list will become the primary parent.
Which email address will be used?
The rules are:
Youth Members
- Select the primary parent email address from the Parents tab.
- If there is "no primary parent email address", then use the family email address (Email-1).
- If there is no email address at all, then ScoutLink will send the invoice to our Member Services team for follow up and action.
Adult Member
- Using the Summary tab Email addresses, select Email-2, if it contains a Scouts NSW email address.
- If there is no Scouts email address, then select Email-1.
- If there is no email address at all, then ScoutLink will send the invoice to our Member Services team for follow up and action.
Note:
Syncing email address from Operoo.
- Operoo has an overnight / once a week sync to ScoutLink.
- The email address from the Profile page in Operoo that is updated in ScoutLink is Email-1 for Adults and Email-2 for Youth.
- It does not update the parents tab information in ScoutLink. The parents tab information is not connected to the emergency contacts in Operoo.
- To update Parent information in ScoutLink, this must be done manually by the group.
